LFS GROUP ONE2ONE

YOUR INFORMATION

Privacy Policy

Last updated: 11 September 2026

This policy explains how LFS Group handles personal information through the LFS Group One2One app, its event scheduling website and the passport registration page.

1. Information we collect

  • Company and account information: company name, login email, company profile, country, city, address, contact details, logo and account access credentials.
  • Participant information: names, business contact details, job titles and profile images supplied by you or your company’s event administrator.
  • Event and meeting information: event participation, booking requests, availability, meeting times, table assignments, topics, notes and booking status.
  • Passport registration: passport name, passport number and date of birth, when you submit the separate registration form for Outing ticket arrangements.
  • Service records: email recipients, message content and sending status, administrative activity records, and technical information recorded when accessing the service, such as IP addresses, request times and browser information.

Information may be provided directly by you, by your company or by the event organiser managing your participation.

2. How we use information

We use information to manage company accounts and event participation, authenticate users, display participant and company profiles, arrange meetings and tables, communicate account and scheduling updates, respond to support requests, and maintain the security and operation of the service.

Details collected through the passport form are used for purchasing tickets and coordinating the related Outing arrangements. They are not included in the participant directory or ordinary meeting notifications.

3. Who can access information

  • Event organisers and authorised administrators can access information needed to manage the event, accounts, bookings and registrations.
  • Participating companies and meeting counterparts can see company and participant profile information made available through the service, as well as information about their meetings. Company accounts are shared at company level; people using the same account may access that company’s information.
  • Service providers supporting hosting, storage, email delivery and event operations process the information needed for those services. Ticketing providers may receive passport details needed to arrange tickets.
  • Information may also be disclosed when required by applicable law or to address fraud, security incidents or the protection of legal rights.

Service providers and event participants may be located outside your country. Only include information in profiles or meeting notes that is appropriate to share for the event.

4. Browser storage and account access

The app uses device or browser storage to maintain account sessions and preferences. The passport page uses a random browser credential to recognise a returning visitor and allow them to update their own submission without signing in.

Clearing cookies, using private browsing or changing devices can prevent access to a previous passport submission. Clearing browser storage does not delete the information held by the service. Use your own device and protect your company’s login details.

5. Retention and security

Account and event records are retained to support event administration, ongoing company participation, support and service security. Passport information is retained for the related ticketing and registration arrangements. These records are not automatically deleted merely because an event ends or an account signs out.

You can request deletion using the contact details below. Some information may need to be retained for legal obligations, resolving disputes or security purposes. Operational logs and backup copies may remain after removal from the active service.

The service uses measures including encrypted connections, access controls and protection of stored credentials and passport information. No system can guarantee absolute security.

6. Access, corrections and deletion

You can update supported company and participant profile fields in the app. For administrator-managed fields, contact your event organiser. You can return to the passport page in the same browser to amend your submission.

To request access, correction or deletion of personal information or an account, email [email protected]. Include your company name, event name and the email associated with the account or registration, where applicable. Do not include your password or full passport number in the initial message.

We may need to verify your identity or your authority to act for a company before handling a request. A request affecting a shared company account may require coordination with the company and event organiser. If information must be retained, we will explain the reason when responding.

7. Policy updates

Changes to this policy will be published on this page with an updated date. Please review it when using the service or providing additional information.
